Privacy & cookie policies

This page explains what personal information Raresoft Armouries collects, why, who we share it with, how long we keep it, and your rights. It also explains the cookies used on raresoft.co.uk.

// WHO WE ARE

Raresoft Armouries ("Raresoft", "we", "us") runs the online shop at raresoft.co.uk and is responsible for the personal information described here.

Email: [email protected]

If you have any question about your data, email us and we'll reply as soon as we can.

// WHAT WE COLLECT AND WHY

When you place an order
Your name, email address, phone number, delivery and billing addresses, what you bought, and how you paid. We use this to take payment, send your order, keep you updated about it, and handle returns or problems. Payments are processed by Stripe (card payments) and PayPal, who receive your payment details and the order amount so they can take payment and prevent fraud. We never see or store your full card details. You can read how they use your data in the Stripe Privacy Policy and the PayPal Privacy Statement.
Legal basis: to carry out our contract with you, and to meet our legal obligations (for example, keeping records for tax).

When you create an account
Your name, email address and a password (stored securely by our website platform; we can't see it), plus your order history and loyalty points balance. We use this to let you log in, show your orders and run the loyalty scheme.
Legal basis: to provide services and products that fulfil our commercial obligation to you as our customer.

When you join our email list
Your email address, and your birthday if you choose to give it. We use this to send you discount codes, news about new arrivals and offers. We only email you if you've opted in, and every email has an unsubscribe link. We can see whether our emails are opened and which links are clicked, so we know what's useful.
Legal basis: your consent, which you can withdraw at any time.

When you contact us or ask us to source an item
Your name, email address, phone number if you give it, and whatever you tell us in your message or request. We use this to reply and to look for the item you've asked for.
Legal basis: our legitimate interest in answering enquiries, or taking steps you've asked for before entering a contract.

When you browse the site
Technical information such as your device, browser and the pages you visit. Basic information is needed to run the site securely. If you accept analytics cookies, we also collect statistics about how the site is used so we can improve it (see Cookies below).
Legal basis: our legitimate interest in running a secure website; your consent for analytics.

// WHO WE SHARE YOUR DATA WITH

We don't sell your information. We share it only with companies that help us run the shop, and only as much as they need:

  • Wix: hosts our shop, checkout, accounts, loyalty scheme and email list.
  • Payment providers: Stripe processes card payments and PayPal processes PayPal payments. See the Stripe Privacy Policy and the PayPal Privacy Statement.
  • Delivery companies (such as Royal Mail and Parcelforce): receive your name, address and sometimes your email or phone so they can deliver your order and send tracking updates.
  • Cloudflare: delivers our website and keeps it secure.
  • Google: reCAPTCHA protects our log-in and sign-up forms from spam and abuse. If you accept analytics cookies, Google Analytics also collects statistics on how the site is used.
  • Authorities: if the law requires it, for example HMRC or the police.

Some of these companies may process data outside the UK. Where they do, UK law requires them to use approved safeguards to protect it.

// HOW LONG WE KEEP YOUR DATA

We keep personal data for 5 years as standard, then delete it. If you unsubscribe from our emails, we stop sending them straight away. Your cookie choice is remembered for 12 months.

// YOUR RIGHTS

You have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct anything that's wrong
  • ask us to delete your data
  • ask us to limit or stop using your data, or object to how we use it
  • ask for your data in an electronic format you can take elsewhere
  • withdraw your consent at any time, for example by unsubscribing from emails or changing your cookie settings

To use any of these rights, email [email protected]. We'll reply within one month. It's free.

If you're unhappy with how we've handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk, by phone on 0303 123 1113, or by post at:
